When shipping it is important you follow these steps for the best chance to minimize risk of damage or loss. It is also vital for the best chance of insurance coverage on your order.

Failure to follow these steps can reduce or eliminate your insurance coverage.

These are leading, best practices when shipping a guitar.

If your guitar or instrument is worth more than $5,000, please contact us directly for quote and insurance coverage terms.

See list of coverage limits below.

Shipping steps before giving guitar to UPS driver or employee:

  • You will be responsible to sourcing your own shipping supplies and pack your guitar or instrument with proper materials. Ship Guitars does not pack guitars or instruments unless specifically provided to you in an invoice or proposal.
  • You will need to contact UPS or other box retailers to source and pack your shipment.
  • Guitar or stringed instrument must be placed in a quality HARD-SHELL CASE. Vintage cases are not allowed. The case is designed to protect the guitar or instrument is not a collector’s item. Soft shell cases are not allowed if you are insuring the instrument.
  • Take pictures before packing of guitar, from all angles.
  • Take pictures of guitar case and box. Inside Hard-Shell Case before placing guitar in it.
  • HARD SHELL CASE must go in a #200-#250 box with a SEAL.
  • Take a photo of the SEAL.
  • Use only quality packing materials. Take a picture of the guitar after packed in hardcase  See our video for guidance on packing a guitar properly.
  • Take pictures of guitar in box taped up and ready to ship.
  • We recommend putting valuable guitars in the air over ground service. Ground shipments are handled differently than air service shipments.
  • Always select signature required.
  • If your guitar is worth more than $999 have the UPS driver or customer care employee sign a copy of the UPS receipt or at a minimum get a drop slip from UPS. Keep for your records.
  • Guitars worth more than $999 should not be taken to a UPS retail store/location but should have a UPS pickup scheduled or taken to a designated UPS Customer Care Center found on www.ups.com.
  • When taking your guitar to UPS Customer Care Center or having it picked up, please get a copy of a signed UPS receipt, or drop slip from UPS employee. Never leave a guitar without getting confirmation in writing UPS has taken possession of the guitar.
  • The measurements for shipping a guitar are of the guitar in a hard-shell case packed in a 200-250# box. Not of the measurements of the instrument itself. Under reporting your measurements will cause UPS to send additional charges and correction fees.
  • Under reporting your dimensions can forfeit your insurance coverage. Please ask for help if you are not sure how to measure your shipment.

Once guitar is received:

  • Save all packing materials when you receive your guitar.
  • Take pictures of guitar box with guitar in it on arrival.
  • Take pictures guitar case with guitar in it
  • Take pictures of the inside of the case without the guitar in it.
  • Take pictures of guitar from all angles.

In the rare instance that there is any damage that needs to be claimed, please contact  [email protected] within 30 days of shipping no later. UPS will not have account specific information on your insurance. Ship Guitars will help you navigate a claim with UPS Capital. UPS Capital may reimburse sender for the full value of the guitar if it cannot be repaired. If it can be repaired, they may reimburse for the work to repair the guitar. UPS Capital reserves the right to deny a claim if sufficient information supporting the claim can’t be furnished.

A shipments dimensions are calculated by the widest point of each side. If the actual weight or dimensions of the shipment exceeds the maximum allowed for the selected item, rates will be adjusted to reflect the next largest category and a $50.00 adjustment fee will be incurred. If a larger category does not exist, additional charges will be incurred for the weight or dimension exceeding maximum allowed in the largest category. You are responsible for all handling fees charged by a pickup or delivery location, as well as all taxes, tariffs and brokerage fees. All charges and fees will be charged to the credit card that was used to process the original shipment. If the duties and taxes assessed are more than what was estimated, it is the client’s sole responsibility to pay any additional duties and taxes assessed. If the duties and taxes are less than the estimate and deposit, Ship Guitars will refund the difference of the actual amount versus what was initially paid as a deposit. You acknowledge and agree that the final charges applicable to your shipment may not be known by Ship Guitars (or charged to you) until Ship Guitars receives a final invoice from the third-party shipping company (which in some cases may be several weeks following the date of your shipment). We reserve the right to charge your credit card (or other form of payment we have on file) upon our receipt of the final invoice from the third-party shipping company, without obtaining additional authorization from you.
